Code of Ethics
Our work is trusted because a hold either passes inspection or it doesn't. There is no room to fake a clean hold, and we don't try. This Code sets out how we operate and what our clients, the crews we work alongside, and the authorities who inspect our work can expect from us.
1
Integrity in Cleaning and Certification
We never represent a hold as cleaned to a standard it has not met. We do not sign off, photograph, or report work as complete when it isn't. If a hold cannot meet the required standard within the agreed scope, we say so before the inspection, not after. Our 100% inspection pass record exists because we don't cut corners to protect it.
2
Food and Cargo Safety
Much of what we clean for carries grain and other agricultural cargo bound for people and livestock. We treat contamination prevention — residue, infestation, odour, chemical carryover — as a safety obligation, not a checklist. We follow CFIA and USDA requirements as a floor, not a ceiling.
3
Environmental Responsibility
We work on the St. Lawrence and we intend to keep it clean. Washings, sweepings, residues and waste are handled and disposed of in accordance with port, provincial, federal and MARPOL requirements. We do not discharge waste improperly to save time or cost, and we will not be instructed to.
4
Health and Safety
Cargo holds are confined spaces, and we treat them that way. We follow confined-space entry, fall-protection, ventilation and hazardous-residue procedures for every job, for our own crews and anyone working alongside them. No deadline justifies an unsafe entry. Any worker may stop a job they reasonably believe is unsafe, without penalty.
5
Honesty in Quotes and Billing
We quote what we believe the work will cost and we bill for work actually performed. Additional charges are explained, not hidden. We don't inflate scope, manufacture delays, or pad disbursements.
6
Anti-Bribery and Fair Dealing
We do not offer, give, solicit or accept bribes, kickbacks or improper payments to win work, speed clearance, or influence an inspection — from agents, surveyors, port staff, officials or anyone else. We compete on the quality and reliability of our work.
7
Conflicts of Interest
We disclose any relationship or interest that could compromise our judgement on a job, and we do not let personal interest override a client's or the public's safety interest.
8
Confidentiality
Vessel schedules, cargo details, commercial terms and client information are kept confidential and used only to perform the work, except where disclosure is required by law or regulation.
9
Regulatory Compliance
We comply with the requirements of the CFIA, USDA, Transport Canada, port authorities and the jurisdictions in which we operate. Where a client's instruction would require us to breach a regulation, we decline the instruction.
10
People and Subcontractors
We treat our crews and the people on the vessels we service with respect, and we hold any subcontractor we engage to the standards in this Code. We do not tolerate harassment, discrimination, or unsafe or exploitative labour practices.
11
Accountability
If we get something wrong, we own it and put it right. Concerns about a breach of this Code can be raised with us directly at ops@portquote.com, and we will not retaliate against anyone who raises one in good faith.
This Code reflects how Port Quote operates and is reviewed periodically.
